Set Up My Students

You may need to create a new address priority code via the Maintain Address Priority window in J1 Desktop for use in the My Students feature. The selected Address Priority governs which addresses the parent sees for the student.

  1. Open the Maintain Address Priority window.

  2. Place your cursor in the Priority Code column, right-click, and select Add Row.

  3. Enter the name of the new Address Priority Code (up to 15 characters). All of the address codes that have already been defined in the TABLE_DETAIL table will appear in the Available Address Codes section in the left pane of the window.

  4. Select a row from the Available Address Codes, and click on the Add button to include it in the Selected Address Codes section in the right pane of the window. Continue these steps until you have selected all of the available addresses for the new priority code.

  5. Use the Move Up and Move Down buttons to select the order in which you would like to search for addresses when printing or previewing reports.

  6. Save.

Parents must be listed for the students account on the FERPA Permissions window in order to have access to the content on the Parent feature.

  1. Open the FERPA Permissions window.

  2. Enter the student ID.

  3. On the FERPA Permissions tab, check the table to see if the parent is listed with an active Start Date.

  4. In the FERPA Details section, you can see which FERPA Categories the student has approved for parents to access.

  1. Log in as the Campus Portal administrator.

  2. From the My Students Feature, click the Setup tab.

  3. Select values for the General Settings.

    1. Choose the Default Student Life Term from the drop-down list. This term is the default term for which the parent/authorized person may initially view residence information for their student in the Residence Info feature via the My Student feature.

    2. Choose the Address Priority from the drop-down list. The selected Address Priority governs which addresses the parent sees for the student.

  4. Select values for the Display Settings.

    1. Student Photos: Select the checkbox to allow users of the View My Students feature to view the student’s photo.

    2. Can See Advisor Info: Select the check box to allow users of the My Students feature to view the student’s advisor information.

    3. Tab, Data, and Link Display Options:

      1. For each of the options listed, select from the drop-down list whether to Never Display, Always Display, or Display Dependent Upon FERPA Permissions. The default is Never Display.

      2. If you select the Display Dependent Upon FERPA Permissions option, then you must select from the additional drop-down list the Category in which to place it. The drop-down list contains all FERPA Categories defined in Desktop.

  5. Click the Save button.

  1. Log in to the Campus Portal as an administrator and navigate to the appropriate feature page.

  2. From the Admin Toolbar Admin Toolbar Icon, click Access. The Access page appears. Campus Portal roles that have access to that page are indicated by a green visible Visible Icon symbol while roles that do not have access are indicated by the red hidden Hidden Icon symbol.

  3. Click on the Campus Portal role you are setting up permissions for. If the role has not already been granted access to the page, click the button to toggle it to Visible Visible Toggle Icon.  Additional permissions appear.

  4. To grant administrative privileges to a Campus Portal role, click the button for the Allow this role to manage this page permission to move the toggle to "Yes".  Administrative permissions will allow the users in the role to add or remove features and set page and feature level permissions.

  5. Changes are saved automatically.

Note

Before parents can access any of their student's 1098-T forms, the Financial Document Center must be active on a page somewhere in your school's Campus Portal.

Grant parents access to view student 1098-Ts from the Financial Document Center.
  1. Log in as the Campus Portal administrator.

  2. Go to the Financial Document Center feature, click the Admin Toolbar Admin Toolbar Icon, and choose the Access.

  3. The Access page appears. Campus Portal roles that have access to that page are indicated by a green visible Visible Icon symbol while roles that do not have access are indicated by a red hidden Hidden Icon symbol.

  4. Click the All JICS Parents role. If the parents role hasn't already been granted access to the page, click the button to toggle it to Visible Visible Toggle Icon. Additional permissions may appear.

    Tip

    While other permissions may appear, the Parents role usually shouldn't receieve more than the ability to view student content.

  5. Changes are saved automatically.

Update the 1098-T Settings from the Financial Document Center
  1. From the Financial Document Center, click the Settings Preferences Icon icon.

  2. Click the 1098-T tab.

  3. Make sure the 1098-T Display option is ON. If the ON option is not already selected, click ON.

  4. Click Save changes.

Update the Display Settings in the Parent Feature
  1. While logged in as the Campus Portal administrator, navigate to the My Students feature.

  2. Click the Setup.

  3. Scroll down to the Tab, Data, and Link Display Options and find the Financial Document Center Link option.

  4. From the drop-down you will select from Never Display, Always Display, or Display Dependent Upon FERPA Permissions.

    Tip

    If you choose Display Dependent Upon FERPA Permissions, then you will need to choose the appropriate FERPA Category (Student Data / Financial Data) to be associated with the link.

    Note

    The Display Dependent Upon FERPA Permissions option is usually selected for the Parent roles. It will tell the system to look at the FERPA Permissions window in Desktop for the parent ID to ensure the correct permissions have been granted by the student before allowing the link to display on the My Students page.

  5. Click Save.

Ready for Parents

If the parent has been granted FERPA Permissions by the student, the link to view the student's 1098-T on the Financial Document Center will appear on the My Students page.
