You can define the types of file extensions to be allowed as attachments. File attachments can be added to provide detailed position descriptions, interview notes, budget information impacting position requisitions, and detail decision-making during the position requisition and hiring processes. When establishing the allowed files, consider the applications your HR employees use and the type of attachments they want to make. Attachments become a permanent part of the position requisition process and can be referenced later as an artifact.

Grant a Role Access to Make File Extensions Available for HR Module

To determine the allowed file attachment, you must belong to a role with access to the Make File Extensions Available for HR Module Attachments window.

  1. Access the Group Definition window in J1 Desktop. 

  2. Select the group you are granting permission to access the Make File Extensions Available for HR Module Attachments window.

  3. Click the Permissions button. The Group Permissions window appears.

  4. Access the Functions tab.

  5. From the Not Allowed panel, locate HR module 80426 Function, Make File Extensions Available for HR Module.

  6. Click the Add arrow button. The function moves to the Allowed panel.

  7. Click the Save button.

Determine the Allowed File Attachments
  1. Access the HR Configure Human Resources via Personnel or HR Configure Human Resources via Payroll window in J1 Desktop.  

  2. Click on the Make File Extensions Available for Attachment in Human Resources link. The Make File Extensions Available for Module Attachments window appears.

  3. Select the Make Available checkbox for the file types to be allowed or clear the Make Available checkbox for file types to not be allowed.

  4. In the Maximum File Size column, enter the maximum file size to be allowed.

    Tip

    It is recommended that you talk with your IT department to determine the appropriate file size.

  5. To create a new file type to be allowed:

    1. Click the Create a New File Extension link. The Define Allowed File Extensions window appears. 

    2. In the File Type (Extension) column, enter the new file type's extension.

    3. In the Description column, enter a definition of the new file type.

    4. Click the Save button.

    5. Click the X button. The HR Configure Human Resources via Payroll window or HR Configure Human Resources via Payroll window reappears.

    6. Select the Make Available checkbox for the newly added file type to be allowed.

  6. Click the Save button.
